We are currently hiring for the following position(s):
Administrative Manager
Job Responsibilities:
Client Relationship Management (CRM): Maintain all client data in CRM systems, ensuring accuracy and integrity. Act as the key liaison for CRM vendor training, product integrations, and updates.
Office Administration & Coordination: Oversee administrative procedures, prioritize workflow, delegate tasks, and ensure compliance with internal policies and deadlines. Review, evaluate and implement new procedures.
Technology & Digital Marketing: Manage the company’s digital presence, including website updates, newsletters and client outreach campaigns.
Investment & Compliance Support: Process trades, monitor client accounts, and liaise with compliance departments, fund companies, and financial institutions to ensure seamless transactions.
Regulatory & Governance Compliance: Maintain policies related to financial industry regulations, assist with audits, and implement best practices to meet evolving compliance standards.
Budget & Procurement Management: Administer office budgets, purchase and maintain supplies, and coordinate IT service providers for operational efficiency.
Assemble data and prepare periodic and special reports, manuals and correspondence
Event & Client Communications: Serve as the first point of contact for clients, coordinate meetings, organize events, and ensure professional client interactions.
Health & Safety Compliance: Act as the Health & Safety Officer, implementing workplace safety procedures in accordance with OSHA standards.
Skills & Qualifications:
Bachelor’s degree or diploma in Business Administration, Finance, or a related field is desired.
Minimum 2-3 years of experience in office administration, compliance, or financial services support.
Proficiency in Salesforce, WordPress, Mailchimp and Microsoft Office suite is required.
Experience in digital marketing, client outreach campaigns, and CRM management is an asset.
Strong knowledge of compliance and regulatory requirements in financial services is desirable (FSRA, MFDA/CIRO).
Excellent organizational, analytical, and communication skills (both written and verbal).
Ability to multitask and adapt to changing priorities in a fast-paced environment.
Compensation:
· $65,000 to $70,000 and annual discretionary bonus
· 3 weeks of vacation to start
